Administrative Assistant (Admin Asst III - Band C) College of Agriculture and Life Sciences School of Integrative Plant Science Cornell University Ithaca, New York The recently created CALS School of Integrative of Plant Science (SIPS) is composed of five sections: Crop & Soil Sciences, Horticulture, Plant Biology, Plant Breeding & Genetics, and Plant Pathology and Plant-Microbe Biology. Combined there are 100 faculty, 200 graduate students in five fields, and 600 other employees located in facilities in Ithaca, Geneva, and other satellite locations across the New York State. The school offers the multidisciplinary undergraduate major in Plant Science and is also home to the Agricultural Sciences major. School faculty also contributes to the Biology, International Agriculture and Rural Development, and Viticulture and Enology majors. This position is part of the school administration and provides event coordination for three sections and provides general administrative support to the Plant Biology section. Coordinate and assist in organizing seminar series, workshops, conferences, commencement, and other events for the school and multiple sections. This is highly complex and will require exceptional organizational skills to successfully work with numerous event organizers. During the academic year the position will coordinate and support multiple events per week, including ongoing seminar series and one-time workshops and other events. This includes making travel arrangements and preparing reimbursements; creating itineraries and agendas; providing announcements via email, web, and fliers; ordering food and/or supplies; and collating and organizing data. This position will work with the finance and management staff to monitor expenditures and track against event budgets. This position will also provide main office reception and general administrative support for the Plant Biology Section. This includes, but is not limited to, receiving and responding to phone and in person inquiries; processing and distributing mail and packages; ordering supplies and materials for the section and for faculty; providing support for travel arrangements and reimbursements; maintaining directories, resource calendars, and communication lists; updating web site; and coordinating building access controls. Required qualifications: Formal training beyond HS of 6 months-1 year with 2-4 years experience or equivalent combination. Demonstrated expertise with Microsoft Word, Excel, PowerPoint, and scheduling tools is required. Demonstrated interpersonal and communication skills (written and oral). Must be independent and a self-starter that can support the efforts of a team structure. Must be accurate, methodical, well-spoken, and be accurate in spelling, grammar, and proof-reading. Proven experience in event coordination,including the ability to support multiple on-going events. Ability to prioritize multiple projects and handle confidential information. Ability to work well with a diverse group of people including but not limited to faculty, staff, and students. Must be able to work independently while supporting the efforts of an overall team. Able to work quickly and effectively under pressure,use judgment in accomplishing tasks that are urgent; balance conflicting priorities, and make decisions from a range of choices. The successful candidate must be personable, flexible, possess excellent organizational and communication skills and take ownership and pride in their work.
